The minimum information for a first enquiry
Send what you are packing, the required fill quantity, the preferred container shape, the order quantity and the destination country. Add a drawing, sample reference or photograph if available. State whether you need a decorated container, a plain container or help defining a custom packaging project.
You do not need to invent missing values to complete a brief. Mark them as undecided and explain the constraint: for example, a maximum shelf height, an existing filling nozzle or a required opening method. This lets the supplier ask targeted questions instead of quoting an unsuitable pack.
Use this quotation checklist
| Item | Information to provide |
|---|---|
| Contents and application | Product, formulation where relevant, intended market and use |
| Capacity and dimensions | Working fill quantity, headspace, size limits or drawing |
| Material | Specified material or required compatibility and documentation |
| Lid and handle | Closure, seal, tamper-evident and carrying requirements |
| IML decoration | Surfaces, designs, colors, finish and artwork status |
| Quantity | Initial quantity, quantity per design and expected repeat orders |
| Samples | Existing reference and sample/proof approval needs |
| Packaging | Nesting, cartons, pallet or other transport requirements |
| Delivery | Destination, required schedule and requested trade terms |
Separate product definition from purchasing terms
The product definition describes the actual container, lid, handle, decoration and acceptance requirements. The purchasing terms describe quantity, price basis, MOQ, packing, lead time and delivery. Both are needed to compare quotations fairly.
If tooling or a new label design is involved, ask for those costs and responsibilities separately. Confirm what is included in the unit price, whether labels have a separate minimum and how remaining label stock is handled. A price without a defined scope is difficult to compare.
Ask for evidence tied to the proposed model
Request a model reference and drawing so the quoted product can be identified later. For food-contact, temperature or chemical requirements, ask for documentation applicable to the exact material and intended use. Do not accept a general application list as a substitute for evidence.
Agree how a sample is reviewed and what constitutes acceptance. A visual check, dimensional check and filled-pack trial answer different questions. If testing is required, specify the conditions and responsibilities before confirming production.
A brief you can adapt
We need a decorated plastic container for [contents] in [market]. The required working fill is [quantity and unit]. Our preferred shape is [round/square/tub], with [lid/handle needs]. The filling conditions are [method and temperature]. We need [quantity] across [number] artwork designs, delivered to [destination]. Please confirm a model, dimensions, material, MOQ, sample process, packing, price basis and lead time.
Replace only the items you know. Attach a reference by email and identify the same product or project in the enquiry form. Haihui Eastern messages include the source page and selected format so the discussion starts with the relevant context.
Send the brief and keep the final specification
Use the Products page to select a format, then request a quote. When requirements change, update the agreed specification rather than relying on the first enquiry. Keep the final product definition, artwork approval and commercial terms together for repeat orders.
Purchasing questions
Can I use this guide as a product specification?
No. This guide helps prepare a purchasing or artwork brief. The agreed model drawing, material information, artwork proof and application-specific documents control the order.
What is the next step after reading this guide?
Choose a container format and send the contents, pack size, quantity, destination and any unresolved questions. Include a drawing or sample reference if available.
